What an email deliverability consultant does

An email deliverability consultant works out why your mail is landing in spam, or not arriving at all, and then fixes the cause. The symptoms show up as falling opens, clicks, or replies. The causes sit underneath, in five places.

Authentication and DNS

SPF, DKIM, and DMARC tell mailbox providers your mail really comes from you, and BIMI adds your logo where it is supported. One misconfigured record can send an entire program to junk. Since Google and Yahoo's bulk sender rules took effect, missing DMARC is no longer tolerated at volume.

Domain and IP reputation

Every sending domain and IP has a reputation with Gmail, Microsoft, and the corporate filters. Complaints, bounces, and spam traps pull it down. A consultant reads that reputation from Google Postmaster Tools, Microsoft SNDS, and blacklist checks, and works out what caused the damage.

Placement across the filters that matter

B2B mail passes through gateways such as Microsoft EOP, Proofpoint, Mimecast, and Barracuda before a person sees it. We test placement with seed lists that reflect your ideal customer profile, so the number reflects where your buyers actually read email.

Infrastructure sized to the program

Cold outbound, marketing, and transactional mail need different setups. Cold outbound needs separate domains, mailbox architecture, and warming. Marketing needs list hygiene and complaint control. Transactional mail stays isolated so receipts and password resets never suffer for a campaign.

Monitoring after the fix

Reputation drifts. ESPs change, volume grows, a list import goes wrong. Ongoing monitoring catches placement drops before they cost you replies.

Truitt Dill, founder of Formula Inbox

Formula Inbox is a services practice, not a software tool. We work across virtually every ESP and sequencer, including Instantly, Apollo, Smartlead, Klaviyo, HubSpot, Mandrill, and Resend. The practice is led by founder Truitt Dill, instructor of the top-rated email deliverability course on Udemy.

Three ways to work with a deliverability consultant

Starting prices are a floor. Scope depends on sending volume, the number of domains and IPs, your ESP, and how much of the stack you want us to own.

A full diagnostic of authentication, placement, reputation, and blacklists. You get a written report with fixes in priority order and a review call, 7 to 10 business days after we receive access.

Email Infrastructure Build

Starting at $999

Domains, mailboxes, DNS, and your ESP configured and warmed to a measured baseline before you scale volume.

Ongoing Support & Monitoring

How an engagement runs

  1. 1

Baseline. Send a typical campaign from your own setup and we measure your real inbox placement. We never send for you and never ask for credentials.

  2. 2

Audit. We review authentication, reputation, blacklists, list hygiene, and your ESP or sequencer. 7 to 10 business days from access to the review call.

  3. 3

Roadmap. A written report with every fix in priority order, written so any team can execute it.

  4. 4

Fix. Remediation scoped at a fixed price, or an infrastructure build if the setup needs to be rebuilt.

  5. 5

Monitor. We recommend three months of monitoring and support after the audit, so the fixes hold.

Email deliverability consultant FAQ

An email deliverability consultant finds out why your email is missing the inbox and fixes the cause. That means reviewing authentication and DNS, domain and IP reputation, blacklist status, and placement across the major mailbox providers and corporate filters, then rebuilding infrastructure where needed and monitoring placement afterward. A tool reports symptoms. A consultant diagnoses the cause and owns the fix.

At Formula Inbox, audits start at $2,499, infrastructure builds start at $999, and ongoing support and monitoring starts at $749 a month. Final scope depends on sending volume, the number of domains and IPs, your ESP, and whether you need a one-time project or ongoing coverage.

If email drives pipeline or revenue, usually yes. When placement falls, every send loses part of its audience before anyone reads it. The ROI calculator on our pricing page estimates what higher placement is worth against your monthly email revenue. One B2B professional services client went from an outbound open rate under 10% to a sustained 48%, and their reply rate rose from about 0.2% to above 2%.

Ask how they measure placement and whether their seed lists reflect your buyers' mailbox providers and corporate filters. Ask what access they need, what you receive at the end, and whether they fix problems or only report them. Ask whether they work with your ESP or sequencer, and how they treat cold outbound differently from marketing mail. A good consultant answers each of these specifically.

Tools are good at monitoring. They show placement scores, blacklist hits, and reputation trends. They do not tell you why placement fell, and they do not fix it. If you know what is wrong and have someone to fix it, a tool may be enough. If placement is falling and you do not know why, you need a consultant. Many teams use both: a consultant to fix the program and a tool to watch it.
