In modern sales, hitting "send" is only half the battle. If your carefully crafted message lands in a spam folder, it doesn't exist. To ensure your outreach reaches the primary inbox, you must transition from "mass sender" to "human communicator".

This guide breaks down the essential technical habits, formatting rules, and personalization tactics to keep your deliverability high and your reply rates climbing.

Send your messages like a real person sends email.

Avoid behaviors that make you seem spammy, like:

  • Sending more than 10 messages an hour from a single mailbox
  • Sending more than 40 messages a day from a single mailbox and, if you can, send even less by spreading them out through the mailboxes configured for you.
  • Sending emails at exact 60-second intervals; use "jitter" or randomized delays to mimic manual sending when sending bulk messages
  • When writing emails for outreach, avoid known spam trigger words and steer clear of all-caps subject lines and high-pressure words like "Free," "Win," or "Urgent" in your body copy. The following are two free tools to help you remove spam triggers.

Format your messages like a real person would when sending to a peer. 

Avoid excess design elements in your email, like: 

  • Promotional images. You can use images but not in a way that feels spammy. 
  • HTML tables and other formatting Don’t go crazy with bold and italics 
  • Include few (if any) links If you must include links, always use secured (https://) and not (http://) 
  • Unless you are linking to a specific booking link or piece of content (ie: Let’s schedule some time or SDR Email Deliverability Reference Guide), show the full link, instead of linking the URL to CTA text like "Click Here".  
  • Don't use public link shorteners like bit.ly or link to files in Google Drive.
  • Don’t include attachments. 
  • Include an opt-out or unsubscribe link

Include meaningful personalization, like: 

  • Connect a specific event, like a product launch or funding round, directly to how you can support their next phase.
  • Highlight a unique insight they shared publicly to prove you’ve actually listened to their perspective.
  • Mention a specific tool they use and explain how your solution bridges a current friction point.
  • Go beyond a "like" by referencing a specific point from their recent post and asking a thoughtful follow-up question.
  • Briefly mention a shared former employer, university, or niche interest to establish immediate rapport.
  • Mention a specific regional regulation or market shift that directly impacts their team.
  • Note specific roles they are hiring for as a signal of their current pain points or growth trajectory.
  • Reference a specific statistic or conclusion from an article or whitepaper that is relevant to their job, company or industry.
  • Use the P.S. for a "low-stakes" personal observation (like a shared hobby or local sports team) to humanize the message further.
  • Reference a pain point they mentioned in your recent call.
  • Instead of generic "just checking in" messages, ensure every follow-up adds a new piece of value or a different perspective.

Incorporate Regular Workflow Habits

Perform regular checks and maintenance:

  • Reviewing your own spam folder to see if prospect responses are landing there.  If they are, remove them from the spam folder so you receive their responses in the future.
  • Spreading out activity in a natural way such as splitting your outreach into a morning block and an afternoon block
  • Check for broken personalization and links in your templates.  Links that lead to nowhere are a major spam red flag, including bad snippets (ie: {{Company_Name}} )
  • Manually review lists.  Do a quick review of the emails for any glaring issues like misspelled names or incomplete domain names.
  • When creating new templates, audit them for spam triggers using the tools mentioned in the first section.
